We are very sorry that you had a bad experience. We were not aware of any issues in the building after Hurricane Michael in 2018. Upon subsequent followup, we did find that the old HOA pest control did place traps in all units, but we were not notified and were not aware they were being placed under the refrigerator or under the stove, so to say we were aware is not correct. When you contacted my partner late in the evening of Valentine's day, she did respond to you, but could not offer a solution until she was able to confirm what options were open. There was only one property open - a single family gulf front home, and she gave you the listing info so you could review the description and pictures yourself and there is no elevator on that listing which is a two floor property. She did let you know that it had been unoccupied, and that given the time of night, we could not get a cleaner there until the next day, but offered to either refund all unused nights of your stay from that night forward or give you the code to move to that property to continue your stay. You requested to move to that property. On the morning of February 15th, you notified Penny that you would prefer to stay at that property and she confirmed. You did not mention issues to her and you notified Penny that you planned to stay at the other property until February 20th and would vacate both properties on that date. At the same time, you requested a refund of your entire 63 night stay.
Up to the night this issue happened, 40 nights of your stay had already passed and during that time, we had quickly answered every question/request from you and there were no reported issues. We notified you that we would refund all unused nights of your stay, but not all 63 nights. You let us know that was not adequate and proposed that we refund more nights, pro-rated taxes, the VRBO guest service fee and your refundable deposit. Your email said that if we accepted your offer that it would be "mutually beneficial". We clearly understood the threat. We let you know that taxes are automatically refunded on any fees refunded, we do not charge, collect or control the VRBO guest service fee, you did not pay a refundable deposit, so there was no deposit to refund, and we could not refund nights you chose to use.
Though we exchanged numerous emails between the 15th and 20th, it was not until you emailed us the morning of February 20th as you were moving your things out of the original property, that you mentioned that you vacated the other property at 10am on February 15th, assuming to instigate us to refund additional nights. But, as we reviewed all correspondence, we found that on the same day you said you vacated that property at 10am, you had texted Penny after 1pm, saying that "you would like to stay there for a week or two". You did not mention any issues with that property in the text and Penny confirmed you could stay. Later, you called Penny and told her that you planned to vacate both properties on February 20th, so the unit was blocked for you through February 20th. The issues seemed to come up as you were pressing for additional money to be refunded.
On the night of the 14th, when you notified us of the issue, I called both of the two local pest control companies. Neither answered (it was well past 10pm), but early the following morning, Bo Knows Pest Control called me back and though they do not normally do weekend calls, the manager agreed to go out to the property himself. He arrived by 11:30am, and in fact, met your family there. He did a full inspection and determined the best action plan which included checking the property every day. After a few days, still no evidence was found and none of the food left on the counters was disturbed, but they continued to monitor. He did end up catching one rodent 5 days after you notified us. He let us know that he did not feel there had been any ongoing issue and that it had been a "fluke" that the rodent got into this unit, possibly through the elevator shaft. Out of an abundance of caution, they continued to monitor for more than 3 additional weeks with zero activity found. At the same time, we also had our maintenance person inspect/repair the unit for any possible access points, and had our cleaning team do a deep cleaning. We took every step to immediately address the issue, and further, to make sure there was no ongoing problem, as we readied the unit to re-open. Bo Knows Pest Control can verify all steps taken.
We communicated clearly and honestly. We answered every question in a straightforward manner and we never varied in following the policy regarding used nights. We followed through with the refund processed exactly how we had communicated it to you in our response to your original request for a full refund of your entire stay. In a connected building, we cannot control every possibility of what might happen, but we can and do control our ability to respond to any situation to the best of our ability with integrity. We have been doing rentals at the Cape for more than 10 years. We treat everyone with respect and are proud of our service to our guests and our owners.
Sincerely,
